Terms & Conditions

- A booking is confirmed once a confirmation invoice is issued.
- Cancellation charges apply and may reach up to 100% of the booking cost.

2. Financial Protection
Your booking qualifies as a package holiday under the Package Travel Regulations 2018, meaning:
- Full financial protection applies
- We are responsible for delivering all services
ATOL Protection (Flight Packages)
- ATOL-protected bookings include a certificate outlining your protection
- If services cannot be delivered, alternatives or refunds will be arranged
- ATOL contribution: £2.50 per person

3. Your Booking
Booking Formation
- A contract is formed when your Booking Confirmation is issued
- The lead name (18+) accepts terms on behalf of all travellers
Responsibilities of Lead Name
- Ensures accuracy of all traveller information
- Communicates all booking updates to the group
Important Conditions
- Travel document names must match passports exactly
- Errors must be reported immediately
- Travel documents are issued approx. 2 weeks before departure
- Full payment must be completed before documents are released
Additional Notes
- Some arrangements may be confirmed later
- Local payments, taxes, or fees may apply and are not included
- Health conditions, dietary requirements, and mobility issues must be disclosed
Flights
- If you arrange your own flights:
- Approval is required
- We are not responsible for those flights
Pricing
- Prices may change due to:
- Administrative errors
- Exchange rates
- Supplier costs
4. Payments & Insurance
Deposit Structure
- European Coach Tours: £150 initial + £150 interim
- Short Haul Air Tours: £250 initial + £150 interim
Payment Timeline
- Final balance due 14 weeks before departure
- Late payments may result in cancellation
Payment Conditions
- Group payments must be made in single transactions
- Admin fees apply for split payments
Insurance (Mandatory)
- Must cover:
- Medical expenses
- Cancellation
- Injury/death
- Repatriation
- Proof of insurance required
Optional Insurance Provider
- Endsleigh Insurance Services Limited (Zurich Insurance plc)
5. Cancellation by You
Cancellation Charges

Important Notes
- Deposits are non-refundable
- Insurance may cover cancellation

Exceptional Circumstances
Full refund available if affected by:
- Government restrictions
- Pandemics
- Natural disasters
- War or civil unrest
6. Changes to Your Booking
- Amendments must be requested in writing
- Admin fee: £20 + supplier costs
Transfers
- Allowed up to 7 days before departure
- New traveller must meet all conditions
- All transfer costs must be covered
7. If We Cancel Your Booking
We may cancel due to:
- Insufficient participants
- Non-payment
- Extraordinary circumstances

8. Changes by Us
Price Changes
- Allowed due to:
- Fuel costs
- Taxes
- Exchange rates
- No changes within 20 days of departure
- If increase exceeds 8%, you may:
- Accept
- Switch holiday
- Cancel with full refund
Other Changes
- Minor changes: notified only
- Major changes: option to cancel or accept alternative
9. Liability
We are not liable for:
- Customer fault
- Third-party actions
- Extraordinary circumstances
Liability Limit
- Maximum: 3× total booking cost (excluding injury/death cases)
10. Complaints & Assistance
- Report issues immediately to local representative
- Follow up in writing within 28 days
11. Additional Assistance
We will assist with:
- Medical support
- Local authority contact
- Alternative travel arrangements
Costs may apply if the issue is your responsibility
12. Travel Requirements
You are responsible for:
- Passports
- Visas
- Health requirements
We recommend checking requirements:
- 2 months before travel
- Again within 14 days of departure
13. Conduct
We may terminate your booking if behaviour:
- Is disruptive or dangerous
- Damages property
- Affects others
Consequences
- No refund
- You cover all damages and costs
- Immediate removal from services
14. Data Protection
Your data is processed according to our Privacy Policy
15. Excursions
- Third-party excursions are not part of your package
- We are not liable for these services
16. Travel Agents
- Payments are held securely on behalf of PTS
17. Law & Jurisdiction
- Governed by English Law
- UK courts apply (or Scotland/Northern Ireland where applicable)
